Account Deletion Policy

1Right to Account Deletion

All registered users and clients of Vohra Neuropsychiatry Centre Pvt. Ltd. ("VNCPL," "We," "Us," or "Our") have the right to request permanent deletion of their account and associated personal data at any time after registration, subject to the terms outlined in this policy.

This right is provided in accordance with applicable data protection laws, including the Digital Personal Data Protection Act, 2023 (India), the General Data Protection Regulation (UK GDPR), and other relevant privacy regulations.

2How to Delete Your Account

You may initiate account deletion directly through our application by following these steps:

Navigate to your Profile
Open the VNCPL application and go to the 'Profile' section from the main menu.

Select 'Delete Account'
Locate and tap the 'Delete Account' button within your profile settings.

Confirm deletion
You will be asked to confirm your choice. Once confirmed, your account will be permanently deleted.
Account deletion is processed immediately upon confirmation. Once deleted, this action cannot be undone and your account cannot be recovered.

3Data Subject to Deletion

Upon account deletion, the following personally identifiable data will be permanently removed from our active systems:

  • Your profile information (name, email address, phone number, photograph, date of birth, gender)
  • Account credentials, passwords, and login history
  • Preferences, settings, and saved configurations
  • Direct communication history, chat transcripts, and email correspondence
  • Any government ID or identity verification documents

All direct identifiers (name, contact details, ID numbers) will be irreversibly stripped from your records so that the remaining data can no longer be linked back to you as an individual.

4Anonymized Data Retention

Upon account deletion, VNCPL will anonymize and retain certain non-identifiable data derived from your use of the Services. This anonymized data cannot be used to identify you and is no longer considered personal data under applicable privacy laws. Retained anonymized data includes:

  • Clinical screening responses, assessment scores, and diagnostic evaluation results, stripped of all personal identifiers
  • De-identified clinical and treatment data, including consultation records, therapy notes, diagnostic information, treatment plans, prescriptions, and clinical outcome metrics
  • Aggregated usage metadata such as session frequency, feature engagement patterns, and service utilization statistics
  • Anonymized demographic attributes (e.g. age range, gender, region) used for population-level analytics
  • Data previously incorporated into trained AI/ML models, which by nature cannot be extracted or reversed
This retention is permitted under Article 17(3) of the UK GDPR, Section 8(8) of the Digital Personal Data Protection Act, 2023 (India), and equivalent provisions in other jurisdictions, which exempt anonymized data and data processed for scientific research, public health, and statistical purposes from the right to erasure.

VNCPL retains this anonymized data for the following lawful purposes: improving diagnostic accuracy and clinical decision support; enhancing treatment protocols and therapeutic outcomes; advancing mental health research and public health outcomes; developing and validating AI-powered screening and intervention tools; training and improving machine learning models; and generating population-level wellness insights. This data is stored with appropriate technical safeguards and is never re-identified or linked back to any individual.

5Legally Mandated Retention

In addition to anonymized data, certain identifiable records may be retained after account deletion where strictly required by law. These include:

  • Medical and clinical records: retained for a minimum of 3 years from the date of last treatment as required under the Indian Medical Council (Professional Conduct) Regulations, 2002, and equivalent healthcare regulations in applicable jurisdictions
  • Financial and transaction records: retained for 7 years as mandated by the Indian Income Tax Act, 1961, and the Companies Act, 2013
  • Records required for ongoing or reasonably anticipated legal proceedings, regulatory investigations, or dispute resolution
  • Records necessary to comply with court orders, government directives, or law enforcement requests
Legally retained records are stored securely with access restricted to authorised personnel only. Once the applicable retention period expires, such data will be securely deleted or permanently anonymized.

6Effect of Account Deletion

Upon deletion of your account:

  • You will immediately lose access to all Services, including scheduled appointments and ongoing treatment plans
  • Any active subscriptions or recurring services will be cancelled
  • Outstanding fees or charges incurred prior to deletion remain payable
  • You will not be able to recover your account, data, or history
  • You may create a new account at any time, but previous data will not be restored

If you encounter any issues during the deletion process, or if you would like to submit a deletion request manually, please contact our support team. We will process manual deletion requests within thirty (30) days of receiving a verified request.

You may also exercise your right to data access or portability before deleting your account by contacting us.
